Club Officer Roles (Updated February 2025)

 

1. Chair

The Club Chair will:-

  1. Chair meetings of the Club committee - normally no more than three per year including preparation for the AGM.

  2. Prepare a brief report for the AGM.

  3. Chair the AGM.

  4. Oversee the Health and Safety procedures adopted by the Club through regular reviews at committee meetings.

2. Treasurer/Membership Secretary

The Treasurer/Membership Secretary will:-

  1. Be a signatory to the Club bank account and hold a bank card and cheque book for the account.

  2. Receive annual subscriptions and any other income.

  3. Maintain a record of paid up members.

  4. Make payments or authorise payments on behalf of the Club.

  5. Present the annual accounts to the Independent Examiner.

  6. Prepare a brief report for the AGM.

  7. Receive membership applications, deal with membership enquiries and liaise with new members

  8. Attend Club committee meetings.

3. Club Secretary

The Club Secretary will:-

  1. Provide their home address as the Club address for correspondence, Ramblers affiliation (if it continues) and bank and insurance records.

  2. Be a signatory to the Club bank account and hold a bank card for the account.

  3. Receive and deal with club correspondence and general enquiries.

  4. Prepare a brief report for the AGM.

  5. Attend committee meetings.

  6. Prepare and circulate agendas for meetings and minutes.

4. Programme Secretary

The Programme Secretary will:-

  1. Prepare programmes of dates for walks according to the frequency and pattern requested by the Club committee and liaise with Club members who are offering to lead walks.

  2. Maintain a circulation list of e-mail addresses through which programme and general Club matters are handled.

  3. Circulate the walking programme to members and copy to the web manager OR upload copies of the programmes to the Club website and draw these to the attention of members.

  4. Provide a brief report of the year's walks for the AGM.

  5. Attend committee meetings

5. Social Secretary

The Social Secretary will:-

  1. Try to assist, along with other committee members, any club member who wishes to include a social element in their walk, or who wishes to hold an activity or event for the club.

  2. Make the venue booking and coordinate numbers for the AGM

  3. Attend committee meetings.

 

6. Management of the Club website is not necessarily a role of any of the Club officers. It will be handled by a Club volunteer if the Club wishes to continue with this facility. The website manager may be co-opted to the Committee.

7. The WhatsApp groups (2024/25) were set up by CW and she will continue to be the Administrator. New members will need to be directed to CW for inclusion in the groups. This administrative role is not a committee post.
